Job Title: Support Specialist (Billing & Front Office Support)
Location: 1316 NW John Jones Drive, Burleson, TX 76028
Job Type: Full-Time
Schedule: Monday – Friday, 8:00 AM to 5:00 PM

We are seeking a motivated and detail-oriented Support Specialist to join our team and contribute to the day-to-day operational success of our office.

Position Summary:

The Support Specialist is responsible for a variety of administrative duties, with a primary focus on managing and processing billing invoices and service delivery documentation. This position ensures compliance with Texas HCS and TxHmL billing guidelines and provides quality assurance oversight for incoming documentation. Additionally, the role includes front desk responsibilities, general office management, and support for medical records processing.

Key Responsibilities:

  • Billing Support:
  • Print and organize billing invoices and service delivery logs.
  • Review and verify documentation for accuracy and compliance with HCS and TxHmL billing guidelines.
  • Report and correct discrepancies as needed in collaboration with the billing department.
  • Quality Assurance:
  • Conduct quality checks on incoming billing and service delivery documents.
  • Ensure timely and accurate filing into client records.
  • Medical Records Management:
  • File documents in client charts in both physical and electronic formats.
  • Process medical record requests in accordance with HIPAA and organizational policies.
  • Front Desk Operations:
  • Greet clients, visitors, and staff in a professional and friendly manner.
  • Answer and route phone calls to appropriate staff members.
  • Manage front desk email, messages, and correspondence.
  • Office Management:
  • Monitor and maintain inventory of office supplies; reorder as necessary.
  • Ensure the office space, including common areas, remains clean and organized.
  • Assist with general clerical duties and special projects as assigned.

Qualifications:

  • High school diploma or equivalent required; associate degree preferred.
  • 1+ year of administrative, billing, or medical office experience (HCS or TxHmL experience strongly preferred).
  • Strong attention to detail and organizational skills.
  • Excellent written and verbal communication.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Proficiency with Microsoft Office (Word, Excel, Outlook).
  • Experience with electronic health records (EHR) or billing software is a plus.
